Medical Secretary/Transcriptionist General Summary: Under general supervision, performs diversified secretarial duties requiring knowledge of medical terminology with primary emphasis on transcription duties. Provides support for department head anddepartment staff as needed.
The following are essential job accountabilities: Transcribes recorded material, including operative reports, discharge summaries, patient history and examinations. (See Footnote)

Types a variety of letters, memorandums, reports, meeting minutes, correspondence, forms and other documentation from written copy, dictaphone or transcription as appropriate. Proofs materials for errors.

Answers telephones, routes callers, takes messages and provides routine information to callers. Schedules patient appointments within established parameters. Enters and/or retrieves data from established computer files using knowledge of various computer software applications.

Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.

Schedules meetings, training and other requirements for staff. Opens and routes incoming mail; distributes correspondence and other material to staff. Compiles data for and prepares regularly scheduled or special reports, analyses and statements. Establishes and maintains files and records on an ongoing basis. Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.

The following are nonessential job accountabilities for ADA purposes: Maintains established policies and procedures, objectives, quality assessment and safety standards. Maintains professional growth and development. Greets and registers patients in accordance with established policies and procedures. Orders office supplies as necessary.
